Agency Overview

SCC is a busy, energized, yet chill place to work.  With 100+ people, multiple departments that span business management, creative, design, video production, media and digital, there's a lot going on. And we need someone to help us hold it all together.

Summary

The Office Coordinator will be involved in all aspects of SCC’s office operations. You will be the glue. The whatever, whenever, however go-to when the agency needs something––anything––to get things started and keep things rolling. You're making sure the agency is looking good and ready to go into battle every morning, from making sure there's hot coffee, printers are stocked with paper, conference rooms are set up for business, the rooftop deck is ready for access. If something is broke, you figure out how to fix it.

Responsibilities

Maintain office environment including but not limited to keeping conference rooms, kitchen/kitchenettes, bar, rooftop, bathrooms, printers, and supply room stocked, clean, organized and highly functional

Provide front desk break coverage for the receptionist and act as backup receptionist when needed

Responsible for the day-to-day facilities operations of the office such as maintenance and housekeeping needs (ceiling tiles, light bulbs, air filters, leaks, etc.), furniture procurement and public TV monitors

Maintain SCC tech equipment and troubleshoot issues with systems including polycoms and conference room AV

Communicate effectively with internal team on agency needs and keep staff notified of building-related issues as needed

Assist with the onboarding/offboarding of new SCCers; preparing offices setting up equipment as needed

Manage distribution of building access keys

Negotiate pricing and maintain relationships with external vendors and partners who provide building/office services including maintenance, delivery, security, IT, grocery, supply, HVAC and internet partners

Manage vendor database and oversee vendors while in the office

Track and maintain admin inventory, facilities budget and annual costs

Maintain SCC’s safety, security and sound systems

Organize and facilitate internal events, presentations, meetings, social hours, concerts, client visits, etc

Train temporary administrative team members when internal team members are out of the office

Tend to other projects/responsibilities as needed

Be the on-call contact for any building-related emergencies

You see no task as too big or too small, you believe the devil is in the details

You're friendly, engaging and a team player- a good communicator with solid interpersonal skills

You’ve done this before, in some capacity

You’re entrepreneurial, and not satisfied with operating at the status quo
